Knackly vs HotDocs: small-firm automation or enterprise scale

Knackly and HotDocs compared on pricing, template building, deployment, HotDocs conversion and what Capterra reviewers say, with Gavel Workflows as a third option.

By Danae Martin · Last updated: November 3, 2026
Gavel vs. Competitor

Choose Knackly if you run a small firm, especially in family law, estate planning or probate, and want published month-to-month pricing and help converting HotDocs templates. Choose HotDocs if you run high-volume document assembly across a large organization and need on-premise or hybrid deployment. The deciding factors are scale, how you buy, and who builds the templates.

Key takeaways

  • Knackly lists every plan on its site: Starter costs $250 per month, or $209 per month paid yearly, with 4 users included, and all plans run month to month with no setup fees. Mitratech, which bought HotDocs in June 2024, lists no HotDocs Advance prices and sends buyers to a demo.
  • HotDocs is built for volume. Mitratech counts more than 1 million end users in 60+ countries, cites batch runs of 500,000+ documents, and offers HotDocs Advance in cloud and on-premise editions.
  • Knackly's team says it worked with HotDocs for 20 years before starting Knackly, and its conversion tool reads HotDocs component (.cmp) files. Knackly says it hasn't found a HotDocs document it can't convert, though its import guide says computations aren't converted and results depend on how your templates are built.
  • On Capterra, checked November 3, 2026, Knackly averages 4.7 out of 5 across 7 reviews and HotDocs 4.1 across 59. Neither listing is recent: Knackly's newest Capterra review is from January 2024, and HotDocs' newest is from April 2023, more than a year before the Mitratech deal.
  • Gavel Workflows is a third option for firms that would rather automate Word and PDF templates in a browser than in a Word add-in or desktop app: from $83 per month, with a 7-day free trial and no credit card.

Last checked November 3, 2026. Gavel publishes this comparison and makes Gavel Workflows, which competes with both. Details come from each vendor's own website and help center, and review figures come from Capterra where marked. Prices and features change, so confirm current terms with Knackly and Mitratech.

What Knackly is

Knackly is legal document automation software whose users include "Family lawyers, estate planning and probate specialists, litigators, and even loan originators." Word templates are built in Microsoft Word with the Knackly Word Designer add-in, fillable PDF forms are automated in Knackly's online workspace, and clients "fill out their own information in guided, step-by-step forms." A single intake can produce several Word and PDF documents for one case. Knackly says Starter "is great for small firms getting started" and that Knackly "scales to 1000s of users."

Knackly's team has a long HotDocs history. It says it "worked with HotDocs for 20 years prior to starting Knackly," and its pricing page describes an automated tool to convert HotDocs templates. Knackly's August 2026 release notes announced AI-assisted document automation in beta, which Knackly says is "designed to help you automate existing documents faster."

  • Price: Starter is $250 per month ($209 per month paid yearly) with 4 users, and extra Starter users cost $40 per month each. Done For You costs $500 per month ($417 paid yearly) and includes 3 hours a month of automation work by Knackly's team (40 hours a year on yearly billing). Professional, at $1,000 per month ($834 paid yearly), includes 12 users and API access.
  • Terms and onboarding: month to month with no setup fees. Starter includes one expert consultation a month and a bonus: Knackly automates your first document.
  • Trial: we found no free trial on Knackly's site. It offers a 30-minute live demo.
  • Integrations: Clio, Filevine, NetDocuments, OneDrive, Zapier, Secured Signing for e-signature and a Microsoft SQL Server connection, plus an open API on the Professional plan.
  • Security: Knackly cites AWS-powered encryption, automated backups and role-based access controls.

Limits: API access comes only with the Professional plan, each plan includes a set number of new records or clients a month (400 on Starter), and the AI-assisted automation is still in beta.

What HotDocs is

HotDocs is document automation software that Mitratech acquired in June 2024, per Mitratech's press release. Mitratech describes more than 30 years of use and over 1 million end users across legal, insurance and enterprise teams. Its pitch is volume and complexity: templates that fill in "jurisdiction-specific rules based on back-end logic" and batch jobs of 500,000+ documents "without manual intervention."

The current suite has two parts. HotDocs Author is "the desktop tool used to create templates," with an add-in for Word, and it converts existing Word, PDF and plain text documents into templates. HotDocs Advance, which Mitratech calls "a secure, cloud-based document automation and assembly platform," stores the templates, runs interviews for staff and outside clients, and produces the finished documents. Mitratech's help center documents both a cloud and an on-premise edition.

  • Price: Mitratech publishes no HotDocs Advance pricing; its product and demo pages ask you to request a demo. A pricing post on Mitratech's blog covers HotDocs Classic licenses only.
  • Trial: we found no free trial for HotDocs Advance. A 2012 blog post, now on Mitratech's site, describes a 30-day trial of HotDocs Developer, a HotDocs Classic product.
  • Integrations: Mitratech says HotDocs connects to document management systems including iManage, SharePoint and NetDocuments, as well as practice management, customer relationship management and e-signature tools, and that HotDocs Advance integrates natively with Mitratech's CaseCloud and TeamConnect. It also offers an open API and HotDocs for Salesforce, which a February 3, 2026 Mitratech press release describes as in-app document assembly driven by Salesforce data.
  • Security: Mitratech cites enterprise security and SSO for HotDocs Advance.
  • Recognition: Mitratech says LegalTech Hub rates HotDocs one of only three Tier 1 platforms on the market.

Limits: HotDocs Author's system requirements list Windows 11 and Word 2016, 2019, 2021 or 2024, so template builders need a Windows machine, and we found no published price or free trial for HotDocs Advance.

Knackly vs HotDocs: the differences that matter

Pricing and how you buy

Knackly publishes every plan, from $250 a month for 4 users on Starter to $1,000 a month for 12 users on Professional, and bills monthly or yearly with no setup fee. Mitratech lists no HotDocs Advance prices and directs buyers to a demo, so you can't compare cost before a sales conversation. Knackly is stronger on price transparency. For HotDocs, ask for a written quote covering your user count, client interviews and deployment.

Building and maintaining templates

Both products put Word template authoring in Word, through different tools, and both handle PDFs: Knackly automates fillable PDF forms in its online workspace, and HotDocs Author converts PDFs into templates. Knackly's Word Designer installs from Word's Add-ins menu, the current version needs Office 2024 or Microsoft 365 (an older add-in covers other setups), and Knackly's help center has install and troubleshooting notes for Mac users. HotDocs Author is a Windows desktop application. Capterra reviewers of both mention a learning curve, and one HotDocs reviewer wrote that it "Really requires a dedicated in-house person" for templates. Knackly is the better fit for offices with Macs or without a template specialist, since its Done For You plan has Knackly do up to 3 hours of automation work a month. HotDocs suits teams that already employ a trained HotDocs author.

Scale, deployment and integrations

HotDocs targets enterprise volume, with batch assembly of 500,000+ documents, cloud, on-premise and hybrid setups, SSO, an open API, connections to iManage, SharePoint and NetDocuments, and a Salesforce integration. Knackly runs as a hosted online workspace, its plans include 400 new records or clients a month (600 on Professional), and it connects to Clio, Filevine, NetDocuments, OneDrive and Zapier, with an open API on the Professional plan and a Microsoft SQL Server connection. HotDocs is stronger for a large organization that needs on-premise hosting, iManage or SharePoint, or Mitratech's CaseCloud and TeamConnect. Knackly's connections lean toward the practice management tools smaller firms run.

Moving an existing HotDocs library

A firm that keeps HotDocs avoids conversion work. Moving to Knackly means running your templates through its conversion tool, which pulls data from HotDocs component files and works best when you use a master component file. Knackly's import guide says "Computations are not converted" and recommends re-creating each one as a text template or formula, and IF statements that wrap several paragraphs need their own line. Knackly also says it "hasn't come across a HotDocs document that can't be converted." Results depend on how your library is built: one Knackly reviewer on Capterra wrote that their HotDocs setup made the conversion "mostly a waste of time and money." For a firm that has already decided to leave HotDocs, Knackly's conversion tool and HotDocs background are its clearest advantage, so ask Knackly to convert a sample before you commit.

What reviewers say

On Capterra, checked November 3, 2026, Knackly averages 4.7 out of 5 across 7 reviews, and Mitratech HotDocs averages 4.1 out of 5 across 59. Knackly reviewers praise its support and its cost; one attorney wrote that "HotDocs was 4x the annual fee," and another noted, "It does not integrate with our case management tools." HotDocs reviewers credit big time savings and flexible templates and complain about the learning curve, rising prices and uneven support. Knackly scores higher on far fewer reviews. Both sets are dated: Knackly's newest Capterra review is from January 2024, and HotDocs' newest is from April 2023, before Mitratech owned the product.

Which should you choose?

  • Choose Knackly if you're a small firm, for example in family law, estate planning or probate, that wants published monthly pricing, Word-based template building that also works for Mac users, and a conversion path for HotDocs templates.
  • Choose HotDocs if you assemble documents at high volume across a large organization, need on-premise or hybrid deployment with SSO, connections to iManage or SharePoint, or document assembly inside Salesforce, and you have a template author on Windows.
  • Stay on HotDocs if your library leans on computations and you'd rather not rebuild them, since Knackly's import guide says computations aren't converted and recommends re-creating them as text templates or formulas.
  • Consider Gavel Workflows if you want to automate Word and PDF templates and client intake with nothing to download, and want a client portal with Docusign and Stripe payments on the Pro plan. It's available from $83 per month, with a 7-day free trial and no credit card.

A third option: Gavel Workflows

Some firms comparing these two would rather set up Word and PDF templates and client intake with nothing to download. Gavel Workflows is no-code legal document automation software for law firms, legal aid organizations and legal teams that produce repeatable documents from client information. You build intake forms and automate Word and PDF templates with conditional logic in the browser, and one set of answers generates the full document set. Litson PLLC cut its time from lead to client by 90% with it.

Limits: the $83 Lite plan allows 1 builder seat and 10 workflows, the API and SSO sit on the Scale plan (from $417 per month, billed annually through sales), and Gavel Blueprint's output is a draft you review against your existing templates.

How to test Knackly and HotDocs side by side

  1. Pick two real templates. Choose one simple template and one that uses computations or repeated items, and collect the source Word document, the HotDocs component (.cmp) file and a finished document for each.
  2. Ask both vendors to build the same two templates. Have Knackly run them through its HotDocs conversion tool and list what needs rework, and have Mitratech show them in HotDocs Advance and quote your user count and deployment.
  3. Let your template author try both tools. Check their computer first: HotDocs Author lists Windows 11 and Word 2016, 2019, 2021 or 2024, and Knackly's current Word Designer needs Office 2024 or Microsoft 365.
  4. Run a client interview on a phone, then price a full year. Send each questionnaire to a colleague playing the client, compare the result with a document you've already sent, and set Knackly's published price (for example $209 per month paid yearly for 4 users, plus $400 a year per extra user) against Mitratech's quote.

Frequently asked questions

Is Knackly better than HotDocs?

It depends on your size and volume. Knackly fits small firms that want published month-to-month pricing and a conversion path off HotDocs, and it rates 4.7 out of 5 from 7 Capterra reviews.
